Project Manager – Tradeshow & Experiential Marketing

Position Overview

We are seeking a highly organized and detail-oriented Project Manager to oversee the execution of multiple projects from concept to completion. This role requires strong project management skills, the ability to juggle multiple deadlines, and experience in event production, fabrication, or related industries. The ideal candidate is comfortable working with cross-functional teams—including Operations, Warehousing, and Production—and collaborating closely with our VP, Client Partnerships to ensure successful project delivery. Additionally, this role will involve monitoring and reconciling client budgets and internal costs to keep projects financially on track.

Key Responsibilities

  • Project Planning & Execution
    • Develop and manage project timelines, budgets, and deliverables.
    • Oversee multiple projects simultaneously, ensuring all milestones are met.
    • Use Asana (or similar PM software) to track tasks, assign responsibilities, and communicate progress.
  • Budget & Cost Management
    • Monitor project budgets to ensure alignment with client expectations and internal cost controls.
    • Track expenses, manage purchase orders, and reconcile costs against estimates.
    • Provide financial reporting and budget updates to internal stakeholders.
  • Cross-Team Coordination
    • Work closely with internal teams (Operations, Warehousing, Production) to ensure projects are executed efficiently and meet quality standards.
    • Act as the primary point of contact between internal teams and clients, ensuring clear communication and alignment on project goals.
  • Client & Stakeholder Management
    • Collaborate with the VP, Client Partnerships to manage client expectations and maintain strong relationships.
    • Provide regular updates and reports to clients and stakeholders.
  • On-Site Execution & Logistics
    • Coordinate logistics for tradeshows, installations, and experiential marketing activations.
    • Ensure smooth on-site execution by managing vendors, crew, and timelines.
  • Quality Control & Problem-Solving
    • Identify potential risks and proactively develop solutions.
    • Ensure final deliverables meet client expectations and company standards.

Required Qualifications & Skills

  • Experience: 3+ years of experience in project management, preferably in trade shows, event production, experiential marketing, or fabrication.
  • Technical Skills: Proficiency with project management software (Asana, Monday.com, or similar).
  • Budget Management: Experience in monitoring project budgets, tracking expenses, and reconciling costs.
  • Organization & Multitasking: Ability to manage multiple projects at once in a fast-paced environment.
  • Collaboration & Communication: Strong interpersonal skills with the ability to liaise between internal teams and clients.
  • Problem-Solving: A proactive mindset with the ability to troubleshoot issues and find creative solutions.
  • Event Industry Experience: Familiarity with event logistics, fabrication, and on-site execution is a strong asset.
