Position Overview
We are seeking a highly organized and detail-oriented Operations Coordinator to support daily operations, scheduling, and internal workflow management across multiple departments.
This role requires strong coordination skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will work closely with the VP of Operations, Project Managers, Production, and Warehousing teams to ensure operational efficiency and strong internal communication. This position is focused on supporting internal systems, scheduling, purchasing, and administrative functions that keep projects and teams running smoothly.
Key Responsibilities
Operational Coordination
- Support day-to-day operations across departments to ensure projects move efficiently.
- Assist with internal workflow coordination and team follow-up on priorities and deadlines.
- Help maintain consistency across internal systems and processes.
Scheduling & Calendar Management
- Maintain project schedules and internal calendars.
- Update Simpro schedules and support labour planning coordination.
- Assist with crew scheduling, timecard tracking, and internal resource planning.
Administrative Support
- Support the VP of Operations with daily priorities, reporting, and follow-up tasks.
- Prepare leadership meeting agendas, coordinate scheduling, and track action items.
- Ensure accurate documentation and internal communication across teams.
Purchasing Coordination
- Manage internal purchasing requests and assist with procurement tracking.
- Coordinate purchase requests with internal departments to support production timelines.
- Track purchasing information and maintain organized records.
System Management
- Maintain updates in Asana, Simpro, and other internal management systems.
- Ensure task tracking, schedule updates, and operational information remain accurate.
- Support process compliance and administrative consistency across departments.
Quality Control & Accountability
- Monitor task completion and follow up on outstanding internal items.
- Help ensure projects are properly scheduled and prepared for production and install.
- Escalate scheduling conflicts, delays, or operational concerns to leadership.
Required Qualifications & Skills
- Experience: 2+ years of experience in operations coordination, administration, scheduling, or project support roles, preferably in tradeshows, event production, experiential marketing, fabrication, or related industries.
- Technical Skills: Proficiency with Asana, Simpro, Google Workspace, and scheduling platforms.
- Organization & Multitasking: Strong ability to manage multiple priorities and maintain accuracy in a fast-paced environment.
- Communication & Collaboration: Strong interpersonal skills and the ability to work across multiple departments and support leadership teams.
- Attention to Detail: High level of accuracy in scheduling, purchasing, timecards, and internal documentation.
- Problem-Solving: Ability to proactively identify issues and support solutions before they impact project timelines.
- Industry Experience: Familiarity with fabrication, warehousing, scheduling, and event logistics is a strong asset.
Salary Range
- $65,000 – $75,000 per year (based on experience)
- Full-time, in-person role based in Pitt Meadows, BC.
